Executive Assistant to the CEO
The Role (High-Level)
We’re looking for a high-trust, systems-minded Executive Assistant to support the CEO directly. This role exists to protect the CEO’s time, focus, and energy so she can operate at her highest level as a visionary, educator, and entrepreneur.
This is a tactical, execution-focused role, not a strategy or people-management position. You will be responsible for translating priorities into action, managing logistics, and removing friction from the CEO’s day-to-day workflow.
The right person is deeply organized, calm under pressure, proactive without overstepping, and genuinely aligned with our mission of ethical, community-centered wealth building.
What You’ll Be Responsible For
Executive Support & Time Optimization
Manage the CEO’s calendar with precision and discernment
Schedule meetings, calls, interviews, podcast appearances, and speaking engagements
Proactively protect focus blocks and minimize unnecessary context-switching
Prepare the CEO for meetings with agendas, background notes, and key context
Anticipate scheduling conflicts and resolve them before they become problems
Inbox & Communication Management
Triage and manage the CEO’s email inbox daily
Draft, respond to, or route emails on the CEO’s behalf using clear judgment
Flag high-priority messages and time-sensitive requests
Maintain a clean, organized inbox system aligned with CEO preferences
Logistics & Administrative Execution
Coordinate travel arrangements including flights, lodging, ground transport, and itineraries
Handle meeting logistics (Zoom links, agendas, notes, follow-ups as requested)
Track and process expenses; prepare documentation for bookkeeping (no budget ownership)
Maintain files, documents, and records related to the CEO’s work
Workflow & Decision Support
Execute decisions made by the CEO with speed and accuracy
Help manage incoming problems by organizing information and proposing next steps
Compile information, summaries, or briefing documents as requested
Keep the CEO oriented to her priorities, deadlines, and commitments
This role does not own company-wide systems, KPIs, or team management, but it plays a critical role in enabling the CEO to lead effectively.
Who You Are
You are likely a great fit if you:
Are highly systems-minded and naturally think in workflows, checklists, and structure
Care deeply about mission-driven work and ethical leadership
Have excellent judgment and know when to act independently vs. escalate
Are calm, discreet, and professional with sensitive information
Enjoy being behind the scenes making big things run smoothly
Take pride in making someone else more effective
Are proactive, detail-oriented, and dependable
Experience & Skills
3+ years supporting a senior executive, founder, or CEO (preferred)
Exceptional calendar management and scheduling skills
Strong written communication and email drafting ability
High proficiency with tools like Google Workspace, Zoom, Slack, Notion, and calendar systems
Comfortable working in a fast-moving, entrepreneurial environment
Strong organizational instincts and follow-through
Why This Role Matters
The CEO’s time and energy are the company’s most leveraged assets. This role exists to clear the runway, reduce noise, and create the conditions for focused leadership. When you do your job well, the entire organization benefits.
