Every time they post on Instagram and Facebook, they generate qualified leads and sales. We turn their proven sales processes into intelligent, automated journeys that use AI to personalize conversations across DM, SMS, email, and web.
We are building a delivery system that is fast, clear, and accountable, without adding unnecessary meetings.
Your Mission
As a Client Operations Lead, you own the operating rhythm that keeps a pod moving.
You make sure the right work gets done in the right order, with clear inputs, clean handoffs, and fast approvals so our Growth Strategist and pod specialists can stay in deep work.
You protect the system, keep timelines real, and keep communication impossible to misunderstand.

Accountabilities
1) Project Management
Outcome
- Keep accounts on track. Raise risks early. Reply within two business hours from Monday to Friday, 9:00 a.m. to 5:00 p.m. Eastern Time.
- Keep the project management calendar accurate for campaigns, timelines, and data. Send weekly updates with performance insights.
- Find process gaps and improve company practices.
How you deliver
Own weekly and multi week timelines for the whole pod. Re prioritize quickly when plans change.
Pod =
- Growth Strategist ( You will report to this role and be their right hand)
- Two Automation Specialists
- One shared Copywriter (shared across two pods)
Run end of week reviews. Keep the project management calendar accurate.
Manage scope. State what is in and what is out. Communicate changes early.
Be the central contact for your pod. Keep high standards in Slack, Airtable, Notion, and Gmail.
Send the end of week report to manager every Thursday.
Share ideas that improve systems.
2) Client Inputs, Approvals, and Communication Flow
Outcome
- Work starts with complete inputs, not guesses.
- Approvals do not stall launches.
- Decisions stay easy to find later, with Slack as the system of record.
How you deliver
- Make “ready to build” unmistakably clear by coordinating required inputs (offer details, links, assets, approvals owner, deadlines).
- Keep approvals tight: one approver, clear due date, and a simple reminder loop.
- Meet founders where they are when needed then capture the decision back in Slack so nothing important lives in private.
- When comments live in Docs, link and summarize the decision in the right Slack thread.
3) Delivery Quality, Reporting, and System Memory
Outcome
- The pod ships on time with fewer resets.
- Leadership can see what is on track and what is at risk.
- We build a clean history of what changed and why.
How you deliver
- Maintain a lightweight change log and out of scope tracker so pivots are visible, not silent.
- Track blockers and aging approvals so the team does not get stuck in micro confirmations.
- Keep weekly reporting consistent and easy to read (what shipped, what is next, what is blocked, what we need from the client).
- Spot repeat breakdowns and propose fixes (templates, checklists, SOP updates, automation ideas).
What You Do NOT Do
- You do not own strategy for offers, funnels, or content positioning (that is the Growth Strategist).
- You do not write copy as the primary owner.
- You do not build inside ManyChat, Make, Zapier, or client CRMs (you may view data to unblock the team).
AI Expectations
We use AI powered tools across Slack, Airtable, QA, reporting, and planning.
You must:
- Be highly comfortable using AI in your daily workflow.
- Suggest AI use cases that remove repetitive ops work (status updates, blockers, reminders, summaries).
- Help refine internal AI tools through ongoing feedback.
AI is a core competency of this role, not a nice to have.
Requirements
Skills and Experience
- 3+ years in project management, client operations, account operations, or delivery ops in an agency or service business.
- Strong systems thinking: you can turn messy reality into a clear plan people can follow.
- Excellent written communication. You make it impossible to misunderstand.
- Comfort working with fast moving, high profile clients and tight timelines.
- Strong judgment and calm execution under pressure.
